Quick Start Guide: Using Agile ATS
Congratulations on choosing Agile ATS for your recruiting and applicant tracking needs! This guide provides an overview of the core features you’ll need to get started. For more in-depth training and short tutorials on specific functions, visit the Tutorials and FAQs section by clicking your initials in the top-right corner and selecting Tutorials and FAQs.
1. Navigating Your Hiring Board
Contracts and Jobs
- In Agile ATS, Contracts are listed on the left side of your hiring board.
- The Jobs associated with each contract appear under the contract listing.
- Click any job to view the candidates currently moving through that specific hiring process.
Stages of Your Hiring Process
- Across the top of the hiring board, you’ll see the stages of your hiring process.
- Candidates appear in the column corresponding to their current stage.
Moving Candidates Through Stages
- Click and drag a candidate’s card from one stage to another.
- Once moved, an automated email appears for editing (optional) and sending.
- You can edit this email in real time, removing or changing text as needed.
- Permanent changes to email templates can be made under Settings.
Team Reviews

Initiate team reviews to gather feedback on candidates based on specific criteria.
- Select the reviewers, and Agile ATS will send them a link to rate and provide feedback.
2. Connecting Your Email Account
An email account must be connected for you (or anyone on your team) to send automated or direct emails within Agile ATS.
- Go to Settings > Email.
- Click Connect a New Email Account.
- Optional: Share this email with your organization so that anyone on your team can send emails on your behalf.
Tip: At least one valid email must be connected for sending emails from within the platform.
3. Global Search and Recent Views
- Use the Global Search bar at the top to quickly find candidates, employees, or tasks.
- The color-coding helps you identify the type of record:
- Salmon = Employee
- Light Blue = Candidate
- Use the Recently Viewed drop-down to locate items you’ve accessed recently, such as profiles or job postings.
4. Adding Candidates and Employees
Use the Add button at the top to:
- Upload Resumes in bulk.
- Create an Individual Candidate if you have a new lead or referral.
- Create an Individual Employee and assign user roles.
- If you need other team members to log in, select Create Agile Onboarding Account and assign roles so they can receive login credentials.

5. Creating Candidate Workflows
When you have a candidate you’d like to place on your hiring board:
- Go to their Candidate Profile.
- Click the 3-dot menu in the top-right corner and select Create Workflow.
- Choose the Contract and Job to which the candidate should be associated.
- Click Save to add a workflow card for that candidate on your hiring board.
6. Tracking Performance with Analytics
Once you actively use the hiring board and move candidates through each stage, Agile ATS automatically collects performance data. Access your analytics by going to:
- Analytics > Recruiting > Hiring and Onboarding.
- Use the Milestones Report to see how long each candidate spent in each stage or how long it took them to reach a specific milestone.
Tip: Keeping your hiring board updated in real time ensures your analytics remain accurate and actionable.
7. Customizing Tables and Views
Nearly every table in Agile ATS can be customized:
- Rearrange columns by dragging and dropping column headers to your preferred order.
- Sort any column by clicking on its header.
- Filter results by clicking the Filtersoption at the top of the table.
- For example, to see candidates in Colorado, select State = Colorado and apply the filter.
- You can Save this filtered view for quick access later.
